Goal Tracking in Scholaric

Today I have released goal tracking in Scholaric.  Scholaric has always automatically tracked total hours.  This was useful for some, but users have asked for other types of tracking, such as:

  • Hours in "core" subjects
  • Lessons in some or all subjects or some courses
  • Attendance, according to various definitions of a "day"

Today's release provides this tracking, and other capability that you can customize to track against your local homeschool regulations or personal milestones. 

Definitions: 

The goal is the named statistic we are tracking, such as Core Hours.

The goal metric is the unit being tracked, either hourslessons, or days.  Hour tracking sums the time entered in lessons.  Lesson tracking counts the number of lessons.  Day tracking counts the number of days that a threshold number of hours or lessons were met or exceeded.  Day tracking is used to track attendance.  For many of you, 1 complete lesson in a day is your definition of a day of attendance.

The goal target is the number of units to accomplish, in terms of the metric, such as 200 hours.

The current period is the date range you are using to track your data - either your school year, semester, or quarter, such as the 2011-2012 school year.  Goals track within the current period.  When the current period is switched, the goals automatically track in that period.

The goal scope limits the counting of the metric to one or more subjects or courses, such as Mathematics and Science, or can include all data.

A goal is applied to either a single student, or all students.

Goals Page:

A new goals page shows the completed, planned, and total values for each goal.  The goals page allows editing of goals, creation of new goals, and deleting of existing goals.  Links to the goals page have been added to the dashboard, and on the menu bar atop each page.

Primary Goal:

One goal is designated the primary goal for a student.  This goal is special in that it appears in the dashboard.  The primary goal is indicated by a gold star.  Primary goals may not be deleted.

On the goals page (not the dashboard) the various parts of a goal can be edited:

  1. Edit the goal name by clicking on it
  2. Change the metric by clicking on it - this will allow you to change between hours, lessons, and days (attendance).
  3. Switch between all users and the current student by clicking on the owner
  4. Select a different primary goal by clicking on an unfilled star
  5. Finally, edit the scope of the goal by clicking on the scope definition, which by default reads "Tracking all subjects".  This will allow you to track specific subjects or courses

Could you please give more explanation on how to use goal tracking? For those of that are challenged in this area? REmember, I'm the that realized you could drag courses around. I like the new font!!!! I also realized that I could print at a reduced size to squeeze everything on one page. DOH!!! I still would like to have one heading for a subject when there are multiple separate assignments for that subject just like in the planning page.

I would like to track attendance easily.

Also, I see there is a distinction between hours planned and hours completed. I just put in the time it took for the lesson ie hours completed. Where do you input the hours planned? Is that in the same field before you hit "complete?"

That's correct. Planned hours, for example, are from incomplete lessons in the future.

For attendance, track days by whatever definition you want. Some have a law that stipulates 4 hours for a day. They should do days by hours, and set the threshold to 4.

Others say if they do anything, it counts as a day. They should do days by lessons, with a threshold of 1.

I am trying out the free trial (thank you!), and I like what I see so far. One question related to goals--I am one of those homeschoolers who needs to keep track of total hours as well as making sure I have a certain number of core hours completed. So I created another "goal" for "core" hours, but I cannot seem to get it to track only core subjects. I have played around in the lesson planning component, setting up both core and non-core courses (such as art and PE). Whenever I enter a specific subject to my "core" goal category and press "enter," the goal still says it is tracking all subjects. And the total number of hours for the total goal and the core goal are the same. Does that make sense? Can you tell me how to fix it? Thank you!
Make sure you select the course (via autocomplete) then hit enter to complete (since it is a text input).  
When you hit ok, it only closes the dialog.

I have updated the goal scope dialog.  It now has an Add button, so that this is more obvious.

Hi, I started with your free trial and loved it. This is the easiest to use program I have found yet, YAY! I just have one problem. When I logged in today I noticed that on the goals page it is not tracking all of the lessons that I have entered. I have at least 9 hours entered for my oldest daughter that she still needs to complete and it is only showing 3, how do I get the program to correct this? They are showing up in blue on the lesson side and have not been marked complete, I double checked that already. Thanks for your help. God Bless!

I would say check this:
1) The incomplete lessons do have time entered (because you are tracking hours) 2) The incomplete lessons meet your filter criteria if any (because they may be wrong subject/course) 3) The incomplete lessons are in the future (because planned lessons in the past aren't counted) 4) The incomplete lessons fall within the current period (goals track for whatever you define as the current period)

Thank you sooooo much. The lessons are from earlier this week so that would be why. I didnt realize if they were in the past it didnt continue tracking them as planned. Thank you for your help. Blessings to you.

No problem.  The reason is that you won't get a false count of what lies ahead.  If you reschedule them later, it signals your intent to continue to use them.

I am just signing up with you to start with my kids in January. How can I do this in regard to the goal tracking? Also, can you explain, is each assignment supposed to equal one "hour" for this feature? I am new to all of this --- having done little to nothing in the way of record keeping with our homeschooling. Clarification as to the how and why would be great. Thanks!!!
Goals are tracked for a period. You can define them to start and stop at any time you want. 
You also enter the time of your lesson. You tell Scholaric how long it counts for. Goals can be set to track lessons or hours.

How can I delete a goals box? I needed one to track just one child and it says it's tracking all. I couldn't figure out how to change that so I created a new one. Now I need to delete the one tracking all and keep the one I need.

You have a delete option on the goals menu for any which is NOT your primary goal (the one with the star).  
If you need to switch between all and one student click on the "switch to only Fred" or the "switch to all Students" link.

I have four courses/subjects not tracking. They show up in grade book and report card, but none of the completed hours are there. How can I fix this?

Make sure your current period includes the planned dates. Let me know if this fixes it.

Jeff, I only have the one planning period. I'm thinking maybe they only track in one hour increments. I have 85 minutes in literature reading together, but it's only showing one hour. That could explain why some of the others aren't tracking as they have not accumulated to an hour. Could this be correct?

No, it accumulates minutes, and displays hours.

ablanchard is user name. Would it be if I had accumulated only 45 minutes it wouldn't display since it's not a complete hour? I think that is what is happening.

I looked at your account and don't see what you mean.  Back to your original question, can you explain what action you take, and what you see that is wrong?

I have tried to set a goal to keep track of attendance as I don't need to track hours. For some reason the goals still all say 0 planned and 0 completed, etc. What am I doing wrong?
Sherry, you probably don't have your current period set properly. The goal should state what period it applies to. If the current period is set properly, go to that period and check its dates. If not, change current period using the period menu.
